Documents to Keep for Renters

Renting a home feels simpler than owning one — and in many ways it is. But that doesn't mean the paperwork is unimportant. Keeping certain documents organized can protect you, give you recourse when problems arise, and save a lot of frustration if something goes wrong.

Your Lease Agreement

This is the most important document you have as a renter. Know what's in it — not just the monthly rent, but the lease term, renewal process, pet policies, guest policies, and what happens if you need to break the lease early. Keep a copy somewhere you can find it quickly.

Community Rules and Addenda

Many landlords and property managers provide a separate set of community guidelines covering things like trash pickup schedules, noise expectations, parking, and common area use. These sometimes get buried in the move-in paperwork. Pull them out and keep them with your lease — they matter if a dispute ever comes up.

Maintenance Requests

Any time you submit a maintenance request, keep a copy. Email is ideal because it creates a timestamped record. If something was reported and never fixed, that documentation matters. It also helps both you and your landlord track whether a recurring issue points to a larger problem.

Your Renters Insurance Policy

If you have renters insurance — and you should — make sure you can access your policy details quickly. Know your coverage limits, your deductible, and the process for filing a claim. Keep a printed backup somewhere accessible, since digital-only records aren't always available right when you need them most.

Amenity Passes and Move-In Documentation

If your community provides passes for parking, a gym, or a pool, store them somewhere you'll remember. Some properties charge a replacement fee that's easy to avoid by just keeping them safe. If you completed a move-in condition checklist when you arrived, hang onto that too — it's your evidence of the home's condition before you took possession.
