When to Call Your Property Manager

A good property manager is a resource, not just a point of contact for rent payments. Knowing when and how to communicate with them can make your rental experience smoother and protect you from surprises.

Don't Wait on Maintenance Issues

If something in your unit doesn't look right — a water stain on the ceiling, a door that's suddenly sticking, a strange smell from a vent — tell your property manager sooner rather than later. What looks like a minor cosmetic issue can sometimes point to something more significant underneath: water damage, mold, or a structural problem that's easier and cheaper to address early.

A quick text with a photo is often all it takes. A good property manager would rather know about a small issue now than receive a much larger repair bill later.

Neighborhood Safety Concerns

If you notice something in or around your building that feels unsafe — persistent trespassing, broken outdoor lighting, vandalism — it's worth letting your property manager know. They may have options to improve security that you're not aware of, and they'll want to be informed before a situation escalates or draws in law enforcement. Always call emergency services in any genuinely dangerous situation; property managers handle the building, not immediate crises.

Financial Difficulty

This one feels counterintuitive, but if you're anticipating trouble making rent, reaching out to your property manager before the due date is usually better than going silent and hoping for the best. Many managers would rather work out a temporary arrangement than deal with the paperwork and cost of a vacancy. It won't always result in a solution, but it tends to preserve the relationship — and your rental history.

Moving Out

Giving as much advance notice as possible when you plan to move is one of the most appreciated things a tenant can do. Most leases specify a minimum notice period, but more lead time generally leads to a smoother move-out process and a better chance of getting your deposit back without dispute.
